Who you need to inform when you move office
A useful reminder of all the people and organisations you need to inform when you move office.
There will be a list of people who need to be notified when your business moves office, so it is important in the early stages of your office move planning to create a notification checklist. Relocating your business will require you to tell your services and utilities companies in advance of your office move to arrange a change of address or to cancel services altogether.
Corporate moves are a great opportunity to review your current arrangements and renew or swap your services for a better deal. Generally, utilities will attract business with eye-catching offers for new customers, but these deals can soon lose their value and you may even be tied into a contract that is less cost-effective than you first anticipated.
The list of organisations you will need to inform when you move office are:
- Water Service Provider
- Gas Service Provider
- Electricity Service Provider
- Telecoms Service Provider
- IT Service Provider (including webhosting company)
- Licensing and any furniture or equipment leasing companies
- Financial Institutions
- Loan Companies
- Insurance Companies
- Business Subscriptions
- All Office Suppliers
Any regular deliveries which are made to your previous offices should be rearranged and any cleaning or recycling services should be notified of your office move. Solicitors and legal representatives of your company should be told of your office move as early in the process as possible. But most importantly of all, you will need to keep your clients, business partners, stakeholders and employees on board throughout. And when you are all moved in you can celebrate with a party to really get your new workplace off to a flying start!
